  1. PARTY NIGHT & FESTIVE DINING

1.1 A non-refundable deposit of £20 per person is required at the time of booking for Christmas party nights and £20 for festive dining.

1.2 Final payment is due by 31st October 2023. Places for which payment is not received by this date may be automatically released and cannot be guaranteed after this time. Bookings made after this date will require full payment at the time of booking. The hotel does not take responsibility for contacting you to collect final payments.

1.3. All party night bookings will be treated as provisional and will be held for no more than 7 days pending receipt of the deposit or contract.

1.4. Wine pre-orders, menu choices and special dietary requirements must be advised to the Hotel no later than two weeks prior to your event.

1.5. The Hotel reserve the right to amalgamate parties or move events to an alternative room to ensure optimum numbers.

1.6. Parties of 8 people or less may be seated on party tables with other groups. The maximum number of guests per table is 12.

1.7. Guests must be over the age of 18.

1.8. The Hotel reserve the right in unusual circumstances or in a case of under subscription to cancel or re-schedule events. In this case an alternative date will be offered, or a full refund given.

  1. CHRISTMAS DAY LUNCH

2.1. A non-refundable deposit of £40 per person is required at the time of booking for Christmas Day Lunch.

2.2. Final payment is due by 30th November 2023. Places for which payment is not received by this date may be automatically released and cannot be guaranteed after this time. Bookings made after this date will require full payment at the time of booking.

2.3. All Christmas and Boxing Day Lunch bookings will be treated as provisional and will be held for no more than 7 days pending receipt of the completed contract and deposit.

  1. NEW YEAR’S EVE DINNER DANCE (non-residential)

3.1. Non-residential bookings require a non-refundable deposit of £40 per person at the time of booking.

3.2. Final payment is due no later than 30th November 2023. Bookings made after this time require full payment at the time of booking.

3.3. All New Year’s Eve bookings will be treated as provisional and will be held for no more than 7 days pending receipt of the completed booking form and deposit.

3.4. Parties of 8 people or less may be seated on party tables with other groups. The maximum number of guests per table is 12.

3.5. Guests must be over the age of 18.

  1. RESIDENTIAL PACKAGES AND ACCOMMODATION BOOKINGS

4.1. All accommodation bookings must be guaranteed with a credit card.

4.2. Accommodation accounts must be settled on departure.

4.3. Residential Packages which include Christmas Day Lunch or New Year’s Eve require a non-refundable deposit of £100 per person to be paid at the time of booking.

4.4. Final payment for residential packages is due by 30th November 2023. Bookings made after this time will require full payment at the time of booking.

4.5. Accommodation rates published in this brochure cannot be used in conjunction with any other promotional offer or discount.

  1. GENERAL TERMS AND CONDITIONS, APPLICABLE TO ALL EVENTS

5.1. All monies paid in advance are strictly non-refundable and non-transferable and cannot be used towards other goods or services. Party organisers are requested to inform all members of their party of this policy.

5.2. Payment for party bookings must be made by cash, cheque, credit card or bank transfer. Payment by cheque will only be accepted no later than 14 days prior to the event date.

5.3. All prices quoted include VAT at the prevailing rate and are subject to change should the VAT rate change.

5.4. Alterations to all bookings must be confirmed in writing.

5.5. We may amend the Price on written notice to you to reflect any change in cost beyond our reasonable control (including but not limited to increases in the price of, or the cost of obtaining goods, materials, services or staff, changes in VAT and import/export duties, and any costs, or increase in costs, incurred arsing as a consequence of, out of or in connection with the UK or worldwide supply chain crisis).

5.6. The Hotel reserves the right to refuse admission and to escort a guest off the premises whose behaviour is inappropriate.

5.7. The Hotel reserves the right to cancel any function or accommodation reservation.

5.8. If you are concerned about food allergies, such as nuts, you are invited to ask one of our team members for assistance when selecting menu items.

5.9. All details are subject to availability at the time of booking.

  1. FORCE MAJEURE

6.1. We will not be liable for any delay or failure of our obligations or any cancellation or postponement of the Event by us as a result of causes beyond our control. This will include but will not be limited to fire, flood, acts of God, acts and regulations of any governmental or supranational authority, war, riots, acts of terrorism, epidemic, pandemic, strikes, lockouts, failure of energy sources or transport network, breakdown of plant or machinery, nuclear, failures by third party utility providers (including internet or third party server failure), industrial disputes, default of suppliers or third party contractors, currency fluctuations, increased prices of stock, goods and services, shortages or unavailability of staff, goods, materials or services and supply chain failure.

6.2. For the avoidance of doubt, nothing in this term shall relieve you of your payment obligations under the Agreement.

    1. COVID-19 AND SUPPLY CHAIN CRISIS

7.1. The parties acknowledge the ongoing COVID-19 and supply chain crisis in the UK and worldwide. Where

7.2. applicable, the parties agree to comply with any official guidance from the UK Government. The parties agree to communicate as soon as reasonably practicable any issues they may have in performing their obligations under this Agreement.

7.3. You accept and acknowledge that the COVID-19 and supply chain crisis may require us to take one or more of the following measures (non-exclusive):

7.3.1. impose maximum attendee numbers at the Event;

7.3.2. limit food or drink availability;

7.3.2.1. impose specific requirements regarding personal protective equipment including but not limited to the wearing of face masks;

7.3.3. imposing restrictions on specific venue or function rooms available for the Event;

7.3.4. restrict the number of overnight stays if applicable;

7.3.5. limit any planned entertainment for the Event; and/or

7.3.6. designate alternative entrance and exit routes.

7.3.7. change the service arrangements for the event

7.4. If we are obliged due to specific restrictions imposed by any governmental authority to, or if as a result of severe shortages of goods, materials, services or staff we (acting reasonably) close our venue and/or postpone the Event, we may offer you an alternative date or dates as we may reasonably determine on which to hold the Event within the next 12 months and the following terms shall apply:

7.4.1. if you choose not to accept the offer of our proposed alternative date(s) or you fail to respond to the offer within 30 days, the Agreement will be deemed to have been cancelled by you and the cancellation term will apply based on the earliest alternative date we offered; or

7.4.2. if you choose to accept the offer of an alternative date, the Agreement will remain in force subject to term 7.4.

7.5. Where term 7.3.2 applies:

7.5.1. we will retain any sums paid to us towards payment of the Price and treat them deposits towards the rescheduled Event; and

7.5.2. you must pay any further sums becoming due in accordance with the Agreement by reference to the date rescheduled Event.

7.6. If you are unable to meet the Minimum Number due to infections or travel restrictions, we may offer you either a proportionate reduced Price for the Event or issue a partial refund at our sole discretion.

7.7. We reserve the right to further revise the Price or make any refunds of sums paid at our sole discretion.

  1. LUNCH WITH SANTA

8.1. A non-refundable deposit of £20 per adult, £15 per youth, £10 per child and/or infant is required at the time of booking.

8.2. Final payment is due four weeks prior to the event date. Places for which payment is not received by this date may be automatically released and cannot be guaranteed after this time. The hotel does not take responsibility for contacting you to collect final payments.

8.3. Bookings made after nine weeks prior to the event date will require full payment at the time of booking.

8.4. Menu choices and special dietary requirements must be advised to the Hotel no later than four weeks prior to your event.

8.5. The Hotel reserve the right to amalgamate events or move events to an alternative room to ensure optimum numbers.

8.6. The Hotel reserve the right in unusual circumstances or in a case of under subscription to cancel or re-schedule events. In this case an alternative date will be offered, or a full refund given.
